Midwest Monument manufactures custom granite and bronze memorials for their wholesale and retail customers. They use QuickBooks to track customers and service orders, and Microsoft Excel to manage jobs. Excel-based job management is fraught with issues, as spreadsheets are difficult to manage in a multiuser environment. Few controls on spreadsheets make it quite possible for costly errors to be introduced. Finally, searching and reporting on historical data, is quite limited with Excel. MMS wanted a more dependable and reliable system, that could more easily be shared, while not duplicating key customer and account information, currently contained in QuickBooks.
ASI worked with MMS to understand their Excel spreadsheets and how they are used. Additionally, we ASI identified needs not currently met in the existing system. The result, was a VB.NET and SQL Server solution that drew customer, vendor, item, and job data from QuickBooks; provided excellent controls during data entry, and supported the email/text notification to customers and staff, for project status at various points in the manufacturing process. Additionally, the system updates QuickBooks with job information, when jobs are complete, and added . Finally, ASI added the ability to track Purchase Orders related to their projects.
In addition to providing much improved reliability and control, the new system improves efficiency and accuracy by pulling appropriate data from QuickBooks. Role-based permissions ensure that users have appropriate rights to system data and features. The text/email notification of customers, virtually eliminated incoming status request phone calls.
